Students must register as directed by the Graduate School of Biomedical Sciences during the registration period indicated in the Academic Calendar. Prerequisites or laboratory experience and faculty approval may be needed prior to registration.
Full-time students are defined by registering for nine or more credits for the fall and spring terms, six or more credits for the summer term. All students receiving stipends must maintain full-time status.
Part-time students are defined by registering for eight or fewer credits for the fall and spring terms, five or fewer credits during the summer term. All non-degree seekers are limited to part-time registration.
Continuing status is available only to those degree candidates who have completed all of their required course work including dissertation or thesis credits (where applicable) but have not finished the writing of a dissertation or thesis. This status request must be approved by the student’s advisor and the program director. A student may be permitted to register for continuation status for a total of 12 consecutive months (one year). During this one-year period, the student must complete the dissertation or thesis; submit the final copy to the Graduate School, and fulfill all other degree requirements within the deadlines established for graduation. Students who have received stipends and health insurance may continue to do so at the discretion of their program. Students not receiving a stipend are eligible under COBRA regulations to continue at their own expense any pre-existing health insurance provided by the College.
A student who is enrolled in a degree-granting program who does not maintain a grade point average of 3.0 (B) or better or who received an Unsatisfactory rating in the Readings and Research Course (course number ending in 295), Introduction to Biomedical Research (course 16210), Capstone Project (course ending in 297), or Doctoral Dissertation (course numbers ending in 399) will be notified in writing by the Dean of the Graduate School that he is on probation. The student will be on probation for two consecutive semesters during which he must maintain an average of 3.0 or better (B) in each of the two semesters. The student will be eligible to receive financial aid from the Graduate School while on probation. There will be a move for dismissal from the Graduate School whenever it becomes mathematically impossible for the student to regain a 3.0 grade point average. Under extenuating circumstances, the probationary status may be extended if approved by the Dean of the Graduate School. Note: the probationary status of a student enrolled in a certificate-seeking program may be impacted by the two-year time limit in place to obtain the certificate.
Course Credits and Grading
Each semester hour of credit is equivalent to 18 hours of lecture plus exams or 36 hours of laboratory work, conference, demonstrations, clinical conference, other course activities or 90 outside (non-contact) credit hours.
The level of achievement in graduate course work is recorded in the letter grades A, A-, B+, B, B-, C+, C and F. These letters refer, respectively, to graduate-level work that is considered to be outstanding, good, fair or failing. Grading for Readings and Research, Master’s Thesis, Doctoral Dissertation work, and some departmental seminars is: E (excellent), G (good), S (satisfactory), U (unsatisfactory). Other reporting categories are AU (audit), I (incomplete), and W (withdrawal), WF (withdrawal deadline passed). Students must maintain a B average to be in good academic standing. During the Fall and Spring terms the student has 60 days from the last day of class in a semester to have the I converted to another grade. During the summer session, the period is reduced to 30 days. Otherwise the grade will be converted to an F (failure). For courses utilizing an alternate grading scale, an unsatisfactory “U” will be recorded.
Conferral of a degree also depends upon continued favorable evaluation of the graduate student by faculty in his program of study. Progress of the student will be reviewed at the end of each year through a formal annual evaluation process.
To audit a course, a student must apply for admission, be admitted, and register for the course through the Graduate School of Biomedical Sciences. Applicants who wish to audit courses must present evidence of their preparation for the courses in which they wish to enroll. Students may change from credit to audit status only during the period extending from the first day of classes through the time period that consists of a total of 10% of the length of the course. Please consult the current academic calendar for these deadlines. Auditors are expected to attend all classes but are not required to complete written course assignments or examinations. Registration as an auditor will be voided if the auditor fails to attend all classes.
Leave of Absence
In unusual circumstances, it may be necessary for a student to request a leave of absence from graduate study. Request for a leave of absence should be made in writing to the Graduate School Dean by completing the Request for Leave of Absence form and submitting the form to the Graduate School Director of Enrollment. The student will be notified in writing of approval or disapproval of the Request for Leave of Absence. Accumulated time away from a program may not exceed one year.
A student may withdraw from a class and receive a partial tuition refund. The amount of the tuition refund will be prorated. Consult the Bursar for details.
Withdrawal from a program requires the submission of a signed letter to the Dean of the Graduate School identifying the reason for withdrawal and the effective date. Administrative withdrawal will occur for any student who has not registered for courses over a 12-month period, unless the student has an approved leave of absence.
Policy on Repeating of Graduate School Courses
Students are permitted to retake any academic course with the permission of their program and the course director. This policy does not apply to Reading and Research, Field Experience, Doctoral Thesis, Master’s Thesis, Capstone Project, Seminar, or Journal Club, which are designed to be taken multiple times. This will require registering for that course in a semester/session that the course is officially being offered. Tuition will be charged at the current rate at the time of registration. Both grades will appear on the student’s academic transcript with the first grade having a strike (/) through it. Only the most recent grade from a course will be used when calculating the student’s grade point average (GPA) for the purpose of determining probationary status and eligibility for the awarding of a graduate degree.
Graduate students are considered to be personally responsible for meeting all deadlines and requirements of the Graduate School for course registration, various examinations, advancement to candidacy, completion of dissertation or thesis, and application for graduation. Electronic communication from the Graduate School to students will occur through distribution lists in ANGEL. Students are responsible for communications to their MCW email address, an address assigned upon matriculation.
