Oracle Freeze + eBridge: What You Need to Know

To prepare for Workday, an Oracle Freeze for some data goes into effect on December 12, 2025, impacting eBridge processes for New Hires, Account Updates, and Sponsor Requests.

  • New Hires: MCW employees, Contingent Workers, and MCWAH already in Oracle will process normally. Those not in Oracle but with MCW Network access (Active Directory account) will be partially processed and can still access eBridge. Those not in Oracle and without an Active Directory account cannot access eBridge until Workday is live. If adding someone to a submission isn’t urgent, hold registration requests until after go-live. 
  • Account updates and sponsor requests won’t appear in eBridge until January 5, 2026.

eBridge Downtime Due to Workday Implementation

eBridge will be unavailable starting January 3, 2026, at 7:30 AM through January 5, 2026, at 7:00 AM for updates related to the Workday implementation. Please plan to complete any critical work before the downtime begins. Access will resume once updates are complete.

Are Your eBridge Department Approvers Up to Date?

The eBridge team is asking eBridge Authorized Department Representatives (ADRs) to review the Organization All Department Reviewers report for your departments prior to the Workday go-live on January 5, 2026. ADRs can find the report in eBridge under the Reports tab. If anyone needs to be added or removed from the roles listed in the report, please complete and submit the Authorized User Update Form. Keeping this list accurate helps prevent workflow delays and ensures smooth processing. Take a minute and check today!

Animal Use Applications

Use the Animal Use Module to submit, track, report and archive animal research protocols, applications, and renewals. Under this module, eBridge tracks and communicates submission states and required actions on behalf of the IACUC, as well as renewal due date notification.

eBridge Compliance

Institutional, federal, state, and local regulatory requirements are implemented into eBridge by Research Systems in partnership with the (GCO) Grants and Contracts Office, the MCW/Froedtert Hospital IRB Office, the Institutional Animal Care and Use Committee (IACUC) Office, and the Institutional Biosafety Committee (IBC) Office at the Medical College of Wisconsin.

MCW has certified to the Food & Drug Administration that the institution is compliant with 21CFR Part 11, Electronic Records and Electronic Signatures.
